Q: How do you set the option for quick editing? What steps do you take to make the process more efficient?

A: The personal workflow for the company typically consists of two main steps. First, a document is uploaded to the Smartcat platform, where it is translated into the desired language. The platform produces a translated version of the uploaded content.

The second step involves a regional subject matter expert who is invited to review the translation. They receive a request via email to edit the project and access a WYSIWYG editor, where they can compare the original English text with the translated content side by side. The expert makes necessary corrections and approves each piece of text by giving a green check mark.

Once the subject matter expert has signed off on the translation, it returns to the team for final review. The translated version is then exported and integrated back into the original source material, whether it be an InDesign file or an Articulate Rise project. Finally, the team checks the final format, and if everything looks good, the process is complete.



Q: For automatic translation, what engine do you use? Do you use one of the machine translation engines or the OpenAI option? Have you tested this?

A: Smartcat utilizes multiple large language models (LLMs) that can be fine-tuned based on the target language for translation. This flexibility allows for a feedback mechanism where customer input is taken into account, enabling real-time adjustments to the platform and its AI capabilities. For example, specific feedback on certain languages can lead to significant improvements in translation quality. As the system learns from user interactions and edits, the overall performance of the translations continues to enhance over time.



Q: I would like to know more about the protection of data/documents from third parties.

A: ​​Confidential information is of utmost importance, especially when working with sensitive content for banks, government institutions, and the U.S. Army. The handling of such information includes not only maintaining confidentiality but also managing marketing campaigns for unreleased products, ensuring that sensitive details do not leak to the public prematurely.

Most clients would not engage with the company if confidentiality were not prioritized. To address any specific concerns regarding data security, documentation can be provided, and it may be beneficial to schedule a call with the solutions team, who possess the technical expertise necessary to explain how client data is protected.



Q: If the reviewer is not available, do you search for another reviewer? Or do you use the option to send the task to several linguists at the same time and automatically assign it to whoever accepts the task first? This is a useful option that Smartcat offers, such as sending the task to all reviewers in different languages.

A: Smartcat offers flexibility in managing translation projects. If a primary reviewer is unavailable, you can set up a system where you select three reviewers, and the first one to accept the task gets the job. Alternatively, a cascading selection can be established, allowing you to prioritize your preferred reviewer while having backups if they are not available.

For large-scale projects that need to be completed quickly, Smartcat allows you to distribute the workload across multiple linguists while utilizing the same translation memory. This ensures consistency in tone and brand feel across all translations, making it easier to manage extensive projects efficiently.



Q: How do you maintain consistency with a hybrid approach? Do you export Translation Memory and send it to your traditional agency?

A: Every use case in Smartcat is unique, especially when working with a network of agencies or linguists. Larger companies often have numerous resources at their disposal, making it common to see various approaches tailored to specific needs. Q: What content do you outsource to agencies, and what do you do with your internal reviewers?

A: For very large InDesign documents with numerous pages, text boxes, and diagrams, the company typically opts to send these to a traditional translation vendor. This decision is made to ensure that any reformatting needs are adequately addressed. While Smartcat's marketplace does offer reformatting capabilities, the team has not yet experimented with it for larger InDesign projects.

In addition to InDesign files, the team finds that other formats such as SRT files for videos, PowerPoint presentations, and Word documents do not present any formatting issues and are easy to work with using Smartcat.

For larger scope projects that involve many moving parts, such as extensive training programs with multiple courses and associated videos, the team also prefers to use traditional vendors. This approach allows them to offload project management responsibilities and ensure everything runs smoothly. Decisions about which platform to use are made on a project-by-project basis, focusing on what makes the workflow easier for the team.
